Confronting Complexity - Adapting Solutions for Difficult Processes

Application processes don’t always elegantly migrate from the analogue world of paper, ink, and post-its to the digital world of statuses, phases, and email. You may be looking for ways of  implementing the steps in your office’s procedures and find that the software is not providing the options and flexibility required. Sometimes, there are multiple options that look right, and it isn’t clear which is the recommended method to use. This session will cover the following five common application processes and  the various implementation plans that can be used to adapt them:

  • Two-step acceptance: a decision process that requires getting accepted from more than one office
  • Priority process elements: questionnaires or materials that need to be completed before all others
  • Final program assignment undetermined: applicants start the process before they select a program
  • Complex review processes: application information gets processed by multiple people under various conditions
  • Approval ladders: applications get passed from one reviewing admin to another in a sequence

With each process, the features and options that can be used to make them a part of your online workflow will be detailed. If you are on an implementation team working to launch a site over the summer, this session can help you learn the range of options available for your trickier application steps. For experienced users, you may be thinking of adjusting your existing processes or introducing new ones that you previously considered too complex for your online tools. While this session isn’t a training in all the specific tools, it can get you thinking in the right directions so that you know where to begin.
