Moving the Mountain: Addressing Change in a Study Abroad Office

SUNY Oswego has a relatively large education abroad office of 8 - all with varying technological proficiencies. Thus, much care was needed in making sure that all members of the office were involved and understood what their roles in the transition process would be throughout the implementation process.


Some of the key issues that the office faced were the implementation timeframe, process flow of files, and forms.  Oswego knew that by not having its campus IT department‘s direct involvement in this program the implementation timeframe would have to be slightly longer, as current duties and enrollments had to be maintained. Along with assessing their completion timeframe, Oswego also had to address the function of its forms and file system once they went live with StudioAbroad.  Their aim was to eliminate redundancies and “bottlenecking” of files. However, during the implementation Oswego encountered issues such as privacy, legality of digital signatures, and system-wide SUNY forms. 


The goal of this presentation is to explore how Oswego’s office addressed these key issues and the obstacles that were met along the way as well as hear how StudioAbroad has changed the workflow for various members.
Attendees at the beginner and intermediate level will get tips on managing process flow in a medium to large office, evaluating current forms and processes, and establish new office expectations.
