Terra Dotta University 2013
Risk management continues to be put in the spotlight as every institution adds internationalization to their strategic plan. With the introduction of TDS Version 12, Terra Dotta continues to expand the tools you have available to manage these efforts. These tools provide travel managers the ability to strike the right balance between the business as usual perspective of the traveler population and the right measure of control for safety and assistance coordination. This session will review the new features and illustrate configuration of one-step registration forms, proxy registration processes, and the ability to complete batch registrations.
Learn what processes and procedures current clients have developed for managing travel across non-credit initiatives at their institutions. Representatives of the Travel Advisory Working Group will share the key leadership roles and relationships that have been successful, as well as lessons learned along the way. A special emphasis will be placed on the needs of the non-student traveler population and the reasoning behind some of the new features to be delivered in Version 12 of TDS. Use this session to learn from the leaders in traveler management and bring their insight to bear fruit at your institution.
Take a guided tour of the many useful and valuable risk-related articles that are available in the Terra Dotta Community Library. The TDCL contains a wealth of articles and videos from experts in the field that you can use to help make your travelers safer, healthier, and better-informed.
Learn how to utilize these materials to create your own pre-departure orientation to protect your students, faculty, and staff. We will look at sets of materials focused on students, faculty and, as well as independent travelers.
We’ll also examine a set of questionnaires and reading materials you can use to focus your faculty and staff leaders on designing safer and more well-thought-out study abroad programming.
Providing a standard of support for institutional travelers, both staff and students, has become an inherent part of the legal responsibility for institutions in the age of global initiatives and strategic partnerships. Political unrest, natural disasters and individual emergencies are realities that can increase your institution's exposure to liability. In this session you'll learn how to utilize the Terra Dotta software to improve your ability to collect quick feedback from travelers, categorize the information and structure responses to all types of situations that may arise for your travelers. Come learn more about how Terra Dotta makes it easier for you to comply with Clery Reporting by building in parameters and values for easy reporting, and how it gets even easier in Version 12. This session will also include a discussion on the client roles in current Clery Act reporting process, interpretations at various institutions and suggestions for compliance from the community.
If you've ever had to fill out rosters to send to an insurer, then you probably didn't volunteer enthusiastically to do it the next time. The frustrating part of it is that the information that's needed for the roster is already in your system, but it's not calculated/oriented/formatted just so for the insurers' requirements. You can easily get a spreadsheet through the Terra Dotta application, but it's not quite the same spreadsheet as your insurer needs, so there's work every time to rearrange and supplement it by hand. To address this problem, Terra Dotta has been working with many of the major insurers and repatriation services to create export interfaces to match the requirements of the insurers' roster templates. The standard interfaces are free of charge to Terra Dotta customers and are easy to implement. In our session we'll look at a few of the interfaces currently available and talk about plans for the future.
Cornell University, is an institution with over 20,000 students and 5,000 faculty and staff from 7 different colleges. Like many others, it is a place where there are countless ways that people travel abroad and a challenging environment for data management. In one year Cornell went from a place where only the abroad office used StudioAbroad to a place where everyone is clamoring to use Terra Dotta Software. The team at Cornell harnessed the Terra Dotta Software system to bring multiple units into using the system. At the same time they launched their International Travel Registry to bring everyone else in the fold. This session will provide a step-by-step plan outlining how to bring other institutional units and departments to use Terra Dotta Software, showcasing specific examples of documents used for the migration process and customized training documentation.
